3.8 This relates to design data which requires the Procuring Authority's approval. This will be presented by the Contractor and the Procuring Authority will be required to either reject or issue notices granting approval to proceed either with or without comments within a contractually defined timescale. Although this area can be time consuming, with one Procuring Authority indicating that there were more than 100 items per school, it is important that Authorities have a system in place that ensures responses are provided within the prescribed timescale. The process can also become frustrating after multiple submissions in relation to the same item, and all parties need to provide a positive focus to avoid protracted dialogue. It is essential to ensure that there is a clear audit trail of comments and responses. It is also important that the FM Contractor's comments are taken on board.
