Communications between Contracting Parties: Formal Meetings between Authority and Contractor

6.1  Good communication is essential in successful contract management. Reviews of operational PPP projects have found a positive correlation between regular communication and satisfaction with the project. The contract may set out the type of meeting which needs to be held and its frequency, where it does not, these will need to be agreed with the Contractor. During the construction phase, there should be regular project meetings to make sure that the construction programme is on track and to deal with design and development issues and requests by either party for variations. These meetings usually involve the Authority, the Contractor, the construction sub-contractor, the operating sub-contractor or FM provider, the independent certifier and, possibly, funders' representatives.

6.2  The project should have the following tiers of communication within its delivery structures:
