1.2.8  Decants

The Contractor will be required to visit the relevant Site(s) prior to its decanting to evaluate the extent of equipment and fittings to be moved The Contractor must liaise at all times with the Project Manager, to ensure all Site factors are considered.

The Contractor shall provide to the Authority, no later than six months before the projected completion certificate date for each of the new Stations and three months before interim new build phases, detailed proposals for the decant into the new Stations with the submission of a Decant Programme.

The Contractor will be responsible for the following identified items - list specific large items such as shredders, garage equipment, lockers etc.

The Contractor will not be responsible for the following:

 Any computer servers, hubs, distribution hardware, kilo streams and all other associated equipment

 Police Livescan facilities

 Police Intoxilizer equipment

 Fire Service Firecat or similar emergency systems

 Include any other items that the Authority has separate contractual agreements over (e.g. copiers) or any items that the due the nature or security necessitate the Authority moving themselves.

Where appropriate, the decant costs will include disconnecting equipment from power supplies and other utility services, unfixing equipment from floors, walls or ceilings, moving it to its new location, refixing it and carrying out any commissioning work necessary to bring it back into operation.

The Contractor shall provide lidded crates for the decant, and provide all computer wrapping materials. All crates are to be packed and unpacked by the Authority's staff.  

The decant will include the relocation of sensitive documents and information Security measures are to be agreed with the Project Manager and implemented by the Decanting Contractor

It is possible that the moves will have to be phased to suit operational needs and requirements. Again, these must be co-ordinated fully with the Authority's representative.

The cost of decanting and any interim accommodation that the Contractor considers may be required must be included

The Contractor must have valid insurance cover, as described in the Project Agreement.
