8.4.10  Records

The Contractor will provide a suitable reporting system in line with the expectations set out in the Contract Management section.

a)  Pro forma Weekly Cleaning Records are to be produced for the facilities and will include details for all areas of accommodation

b)  Staff carrying out the cleaning tasks will complete the Weekly Cleaning Records for the relevant areas on a daily basis. The staff member will be required to initial or, if electronic means are used, endorse the record to confirm that the task has been completed

c)  Weekly monitoring will be carried out by the Senior Domestic or a nominated member of staff.  Monitoring will involve collating all of the Weekly Cleaning Records and confirming that tasks recorded have been completed satisfactorily

d)  Each month, the Contractor will produce a report that identifies the percentage of cleaning tasks, which were not completed or were not completed satisfactorily

e)  Certificates of proper disposal of waste will be provided where applicable

f)  Formats of reports and other management information shall be agreed by the Authority in advance of service commencement and any proposed amendments made in consultation with the Authority.
