8.7.5 Events Management
The Contractor will provide an events management service that delivers a range of activities for residents within and visitors to the facility. This will include developing a continual programme of activities and events either within the activity spaces within the facility or offsite. Such events shall be diverse in nature to allow the widest spectrum of residents and visitors to engage in activities that promote mental and physical wellbeing. The Contractor will be responsible for arranging, promoting and managing these events, and obtaining feedback where appropriate to allow future programmes of activities to be developed.
Programmes of events shall be reviewed and updated on a regular basis, not less than quarterly. Feedback from completed programmes or activities shall be accounted for in reviews of activities and future schedules.
[The Contractor may recover any external costs (i.e. costs of booking external parties to visit sites, transportation, etc.) incurred as part of events being arranged through "admission charges", however it is not expected that the Contractor will recover any of it's own costs in this way.]47
The Contractor will be responsible for obtaining any entertainment licences necessary to run the events programme.
[The Contractor will be responsible for obtaining and maintaining an alcohol licence for each of the Sites.]
In addition, the Contractor is to establish and develop links with local services and amenities to improve access to such facilities (arranging appointments, regular visits, etc) for residents and visitors. Such amenities might include:
a) General practitioners, dentists and other healthcare providers;
b) Pharmacies;
c) Hairdressers;
d) Post office services;
e) Pastoral care; and
f) Local education and leisure Services. [In particular, links should be established to local library services to support a varied library of books within the library area.]
This service may also extend to arranging visiting retailers, craft fayres or similar.
[As part of this service, the Contractor will also be responsible for the instruction and induction of those wishing to use the gym equipment. The Contractor is not required to maintain a permanent presence in the gym areas, but is to ensure those who have not received induction are unable to gain access.]48
