8.5.7  Records

The Contractor will provide a suitable reporting system in line with the requirements set out in the Contract Management section. In particular:

a)  Pro forma Weekly Maintenance Records are to be produced for the facilities and will include details for all areas.  These shall reflect seasonal diversities;

b)  Staff carrying out the tasks will complete the Weekly Maintenance Records for the relevant areas on a weekly basis. The staff member will be required to initial or, if electronic means are used, endorse the record to confirm that the task has been completed;

c)  Each month, the Contractor will produce a report, which identifies the percentage of tasks which were not completed or were not completed satisfactorily;

d)  Certificates of proper disposal of waste will be provided where applicable; and

e)  Formats of reports and other management information shall be agreed by the Authority in advance of service commencement and any proposed amendments made in consultation with the Authority.
